Event Planning Essentials

Planning ahead helps ensure that the necessary space, services, and resources are available for your event.

  • Submit event guidance as early as possible.
  • Identify your preferred event date, time, location and estimated attendance.
  • Consider your event setup, audiovisual needs, catering, signage, parking and other logistical needs.
  • Allow adequate time for venue reservations, vendors, approvals and other event arrangements.
  • Keep event information and planning details updated as plans develop.

Best Practices

  • Establish a primary contact for the event and a clear planning timeline.
  • Consider accessibility and accommodation needs for guests.
  • Plan for dietary needs when food or refreshments are being provided.
  • Consider guest arrival, parking, wayfinding, registration and event flow.
  • Coordinate promotional materials and communications with CLA Marketing & Communication when needed.
  • Use Purdue and CLA branding consistently on event-related materials.
