Recently the University implemented a formal process for Providing Electronic Access to Designated University Resources.  This process has been established for faculty and staff who have approved appointments with a future starting date and for individuals who provide faculty and staff-like services but who do not hold Purdue appointments.  Examples of these individuals include Emeritus faculty and staff, and consultants/outside professionals.  The designated University resources available include "@purdue" email address, inclusion in the electronic University directory, PUCC computer file space and access to the Library's system.

The following process has been developed to administer this process within the College of Liberal Arts.

Note:

This process grants individuals the approval to access the designated university resources and creates an official record in university systems recognizing the individual as eligible for these resources.  To establish and get services such as an e-mail address, a university ID card, etc., an individuals needs to contact the appropriate IT staff member or the appropriate university office.

Requests for Access

Staff Members with Prior Approval  (Position Type codes FE)

Access for staff members with prior approval is only needed if they require the use of the designated University resources prior to their first pay date.  If such access is needed they should notify the business office.  Upon receipt of this notification the business office should complete the Request for Privileges Form.  This form should be verified by the departmental business manager and routed as follows:

Original -     Director, Human Resource Services, FREH Hall

Copy -         Retained for Departmental Records

*E-mail name and department to ithelp@purdue.edu

* The department IT Staff will use the information to set up the corresponding accounts on the CLA Mail Server.

Retired Staff Members with Prior Approval  (Position Type codes ER)

The business office will complete the Request for Privileges Form. This form will be approved by the Department Head by signing the requestor line and verified by Business Manager.  Route as follows:

Original -     Director, Human Resource Services, FREH Hall

Copy -         Retained for Departmental Records

*E-mail name and department to ithelp@purdue.edu

* The department IT Staff will use the information to ensure that corresponding accounts on other servers are retained.

Individuals who require approval  (Position Type codes NE)

All individuals who will need access to designated University resources who are not on the prior approval list should notify the business office.  Upon receipt of the notification the business office should complete the Request for Privileges Form.  This form should be approved by the Department Head by signing the requestor line and routed as follows:

Original -     Mona Holdcraft, Business Office, BRNG

Mona will review and verify the request for access and route the request as follows:

Original  -    Director, Human Resource Services, FREH Hall

Copy -         Returned for Departmental Records

*E-mail name and department to ithelp@purdue.edu

* The department IT Staff will use the information to ensure that corresponding accounts on other servers are retained.

All requests for non-employees requires the approval of the Director of Human Resource Services.
